3. What data we collect

We only collect the personal data we need to provide our services and communicate with you. Depending on how you interact with us, this can include:

• Contact details: name, email address, phone number. • Household information: number of people, pets, move-in date. • Work and income information: employer, work location, indication of income, employment status. • Housing preferences: budget, preferred neighborhoods, size, must-haves. • Identity and application documents you share for landlord applications (for example a copy of an ID or employment contract). • Communication history: messages, emails and notes from calls or viewings. • Basic technical data when you visit our website, such as device type and general location, through standard web logs.

4. Why we use your data

We use your personal data to:

• Respond to your questions and requests. • Conduct the intake and understand your housing needs. • Search for suitable properties and arrange viewings. • Prepare and support rental applications with landlords or agents. • Communicate with you about your search and our services. • Send invoices and handle payments. • Comply with legal obligations, such as tax and accounting rules. • Improve our services and website.

5. Legal basis

We process personal data on the following legal bases under the GDPR:

• Performance of a contract: to deliver the service package you booked. • Your consent: for example when you share application documents to be forwarded to a landlord. • Legitimate interests: to run and improve our business, communicate with prospective clients, and keep basic records. • Legal obligation: for tax, accounting and other statutory requirements.

6. Sharing your data

We treat your information as confidential and only share it where necessary to provide our services:

• Landlords and rental agents, when we submit or support an application on your behalf. • Service providers that support our operations, such as email, hosting, form and payment providers, bound by appropriate confidentiality and data-processing terms. • Authorities or advisors, where we are legally required to do so.

Once personal data is shared with a landlord, rental agent or other third party at your request, that party may become responsible for its own processing of your data under their privacy policies.

We do not sell your personal data and we do not share it for advertising purposes.

7. International transfers

Our service providers may process data outside the European Economic Area. When that happens, we rely on appropriate safeguards under the GDPR, such as Standard Contractual Clauses, to protect your data.

We keep personal data only for as long as needed for the purposes described in this policy:

• Intake and search data: for the duration of our engagement and a reasonable period afterwards to answer follow-up questions and address disputes. • Invoicing and accounting records: for the period required by Dutch tax law (currently 7 years). • Marketing contacts: until you ask us to remove your details.

When data is no longer needed, we delete or anonymize it.

Under the GDPR, you have the right to:

• Access the personal data we hold about you. • Ask us to correct inaccurate or incomplete data. • Ask us to delete your data, where applicable. • Restrict or object to certain processing. • Withdraw consent you have given, without affecting the lawfulness of processing before the withdrawal. • Receive your data in a portable format, where applicable. • Lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
